How we use information supplied through this website and in project enquiries.
Who is responsible
Tenon Energy Assessment is a trading name of Trevor A Clay RIBA Limited, registered in England and Wales under company number 05478489. Registered office: 14 Old Fendike Road, Weston Hills, Spalding, Lincolnshire PE12 6DD. VAT number: 677 0198 08.
Trevor A Clay RIBA Limited is responsible for deciding how personal information in these enquiries is used. For privacy questions or requests, contact info@tenonenergy.co.uk or write to our registered office.
Information we collect
When you request a quotation, we collect your name, email address, client type, project postcode, project type, selected services and project stage. You may also provide a telephone number, company, project name or address, requested date, notes and drawings or other files. We retain an enquiry reference and submission time.
We also receive information you supply when you email or telephone us. Our hosting and security providers process technical information about website requests, such as IP addresses, browser information, pages requested and security events.
Please supply only information relevant to the project. Avoid sending health information, payment-card details or other sensitive personal information. If you supply someone else’s details or drawings, make sure you are entitled to share them with us and tell the people concerned about this notice.
Why we use the information
We use enquiry information to understand the project, identify the assessment required, prepare a quotation, answer questions and communicate with you. If you appoint us, relevant information becomes part of the project record. Required form fields let us assess and respond to the enquiry; without them we may be unable to provide a quotation.
Where you ask us to take steps towards a contract with you, or we provide services under that contract, we rely on that contractual purpose. For enquiries made on behalf of a company, professional contact details and necessary project coordination, we rely on our legitimate interest in responding to business enquiries and delivering our services. We also have a legitimate interest in keeping the website secure and maintaining records needed to handle queries or claims. Legal obligations may require us to retain particular business records.
Submitting an enquiry does not subscribe you to a mailing list. The form acknowledgement confirms your request and that you have seen the privacy information; it is not consent to marketing. Quotation and assessment decisions are made by people, not solely by automated decisions.
Storage, email and service providers
Website enquiries and uploaded files are stored in private storage provided through OpenAI Sites and Cloudflare. Microsoft 365 provides our business email. Resend sends the website’s enquiry alerts to our inbox and records delivery events. These providers process information needed to deliver their services.
An email alert contains your contact and project details and a separate protected link for each uploaded file. These links expire after seven days. Expiry stops access through the link; it does not delete the enquiry or its files. Anyone with a valid link can download that file, so links should not be forwarded unnecessarily. We do not enable Resend email-open or click tracking.
Information may be processed outside the UK. Selecting a European email-sending region does not mean every copy of the data stays in Europe. Provider terms and data-processing arrangements describe international processing and applicable safeguards. Contact us if you need further information about the arrangements relevant to your enquiry.
Access to enquiry information
Alasdair McFarlane handles the enquiry inbox and uploaded drawings. Authorised website support and the hosting and email providers may access information as needed to administer and provide the supporting services. We do not publish your drawings or contact details on the website.
If a project requires information to be shared with another assessor or project participant, the relevant arrangements will be addressed as part of agreeing the service. We may also need to disclose relevant information to professional advisers or where the law requires it.
How long information is kept
The period depends on what happens to the enquiry. We need the information while reviewing the project, preparing a quotation and dealing with related correspondence. If work is commissioned, the relevant information becomes part of the professional project record.
For enquiries that do not lead to an appointment, we normally review the information 12 months after our last substantive contact and delete it when no longer needed. We may retain relevant records longer where an enquiry remains active or a complaint, legal claim or other documented requirement applies. Commissioned project records follow the retention requirements recorded for the appointment, taking account of professional-insurance and legal obligations. Retention reviews are carried out manually each quarter; there is no automatic deletion after a set number of days. Contact us about a particular record or to request deletion; we will consider whether there is a continuing reason to retain it.
Your rights and complaints
Depending on the circumstances, you can request access to your personal information, correction of inaccurate information, deletion, restriction of its use or a portable copy. You can object to processing based on legitimate interests. These rights have conditions and exceptions; for example, a record may need to be retained for a legal obligation or an ongoing claim.
Send requests or concerns to info@tenonenergy.co.uk. We may need enough information to verify your identity and locate the records. You can also complain to the Information Commissioner’s Office.
